Office Manager Position
NOW ACCEPTING APPLICATIONS FOR OFFICE MANAGER
Environmental Stewardship Concepts, LLC seeks an office manager for a small consulting firm that provides technical assistance to community groups, government agencies, and businesses on environmental cleanup issues.
The Office Manager is responsible for the tasks below as well as supporting interns, research assistants, environmental scientists, and the owner in completing their day by day activities.
Position Description:
Responsible for recording billable hours and expenses, documents received, and other necessary elements of ESC projects. In addition, the Office Manager is responsible for monitoring communications (email, mail, phone) and insuring timely communication between clients and ESC team members. Finally, he/she will conduct updates to the ESC website and track the progress of various contractual projects. This is a full time position at 35 hours per week and must be available to be at the office throughout regular business hours 9:30 – 4:30
Responsibilities:
• Using QuickBooks, track and record finances in cooperation with ESC’s financial consultant; including project and office expenses and staff hours
• File and distribute reimbursements for project work, business development (conferences, non-client meetings, etc.), and office related expenses
• Prepare, distribute, and follow up on the payment progress of monthly invoices and monthly task reports for all clients
• Monitor email, mail and deliveries, and phone messages for incoming information on updates, work orders, contracts, documents, and current events relevant to projects
• Continually update the schedule of the president and all ESC team members
• Oversee timely completion and submittal of work products, keep the project planning spreadsheet updated with tasks and due dates
• Conduct research on projects as needed
• Log received and submitted project documents; upload and organize documents received
• Plan travel for ESC site visits, CAG meetings, etc., create travel quotes for clients.
• Maintain organization of files, project and administrative documents.
• Pay bills, invoices, and team member wages while maintaining records of all administrative transactions.
Job Requirements:
• Bachelor’s Degree in a relevant field such as Environmental Studies, Urban and Regional Planning, Sociology, Business Management, Sociology, Psychology, etc.
• Must be able to multitask and organize information related to several different projects as well as prioritize multiple tasks in order of urgency and importance
• Excellent command of MS Office, Adobe Acrobat, QuickBooks, and electronic communications
• Friendly communication skills over phone and email
